Heart In Heart Child Therapy currently participates with the following insurance panels: United Health, Oxford Health, Oscar Health, Aetna and Cigna and Excellus BCBS. Clients are asked to call their provider so that they fully understand their mental health benefits and deductibles.

To better allocate time to therapy-based services, Heart In Heart Child Therapy outsources most of its insurance billing and administrative work to Headway, an online billing service provider. Once entered into the Headway system, clients will communicate directly with Headway for all of their billing and payments. Clients can access help through Headway at hello@headway.co Clients with Excellus BCBS will be billed through Heart In Heart Child Therapy, LLC and all co-pays and other payments will be due/collected at the time of service.

Please note that if clients wish to use their insurance benefits, the child will need to have a diagnosis in order for insurance to accept the claim. The diagnosis process will be discussed with the caregiver before being provided.

Out-of-Network Benefits

Some clients may wish to utilize their “out-of-network” mental health benefits. In this case, Heart In Heart Child Therapy will still be required to provide a diagnosis. Clients will pay for services in full at the time of service and Heart In Heart Child Therapy will provide a monthly “super bill” that clients can submit to their insurance provider for reimbursement. Clients are responsible for understanding their out-of-network benefits and deductibles.

Self Pay

Some clients may not participate in any of the above noted plans and/or may not wish to create a health record with a mental health diagnosis for their child. Clients can then pay out-of-pocket at the full rates listed below. Payment is due at the time of service. As per the “No Surprises Act”, self pay clients are entitled to a Good Faith Estimate for services. *Please note that communication with outside service providers is part of quality therapy provision and is not typically charged. If, however, communication exceeds the tpyical 20 minutes/week, a fee may be charged. Any fees related to extended communication will be discussed prior to those services being provided.

*Cancellation Policy. Kids get sick and life happens. Heart In Heart appreciates 24 hours notice of cancellations when possible. If cancellations are consistent, the therapist will discuss next steps at that time as a cancellation fee may be applied and/or service provision may be discontinued. In general, please do stay home if your child or anyone in the family is ill.

What to Expect:

Phone Consultation: The first step in starting services is to schedule a call to discuss parent concerns and to see if Heart In Heart Child Therapy may be able to help. If both the parent and Sarah agree that Heart In Heart Child Therapy can help, an intake assessment will be scheduled and initial paperwork will be sent. If the parent and/or Sarah believes a different service might be a better fit, appropriate referrals will be made.

Intake Assessment: The intake assessment is the first step in therapeutic treatment. This meeting will be 60 minutes to 90 minutes and will be between the therapist and the parents only. This allows parents to speak openly about their concerns and observations without worry that the child will over hear. This is also a chance to get parent questions answered and to review the initial paperwork together. Both parents are asked to participate. These sessions are billed at the Initial Intake rate.

Parent-Child Assessment Sessions: The parent-child assessment session allows the therapist to observe parent-child interactions to better assess strengths and areas for work so that therapeutic goals can be more precisely targeted. Depending on the case, there may be one or two parent-child assessment sessions scheduled. This will be discussed and agreed upon in the initial intake session. These sessions are billed at the family session rate.

Therapist-Child Assessment: An individual therapist-child assessment will be scheduled to assess the child’s needs and strengths. These sessions will be billed at the individual session rate.

Parent Consultation to set Treatment Goals: After the initial assessments are completed, a Parent Consultation session is scheduled to discuss the assessment phase and to set clear treatment goals.

Individual or family therapy sessions will then be scheduled as needed. Parent Consultations will also be scheduled every 3-6 weeks or as needed. Please see above for relevant fee schedules.

Children in social skills groups will require a parent intake session as well as a 30 minute therapist-child assessment prior to the start of group to ensure goodness of fit for that particular group. Intake sessions are billed at the initial intake rate and the therapist-child assessment is billed at the individual session rate.

Termination: Therapy is not forever. Some children will be in therapy longer or shorter than others based on the work to be done. The therapist will revisit treatment goals and seek feedback throughout the therapeutic process to make sure all clients are moving towards goal completion.

Hours

Heart In Heart Child Therapy recognizes the importance of consistent school attendance and makes every effort to schedule clients in a way that honors their school participation. However, many young children are so tired after school that they lack the focus and energy to make the most of therapy, making daytime appointments more productive. Heart In Heart Child Therapy will work with your child’s school to make the necessary arrangements when after school appointments are not possible. Typically, the work in therapy positively impacts the work done in school, making the daytime investment very worthwhile.
